Question 1

Do I have to ask the practice for its numbers?

Accepted Answer

No. When the practice connects QuickBooks Online, a full year of its P&L imports and every month after syncs on its own. You see the same numbers the owner sees, the moment the practice shares its financials with you.

Question 2

Which of the practice's tools can I use?

Accepted Answer

The hiring calculator, NovaInterview, the overhead and insurance planner, goals and Vision's money views, Consults and the treatment pipeline, and NovaPlan and Studio results — for the practices you coach.

Question 3

What can I see inside a practice?

Accepted Answer

The P&L straight from the practice's QuickBooks, overhead measured account by account and graded A to F, production and collections, and results in dollars; every huddle, the Morning News, team meetings and debriefs; every team member, their My Nova, provider performance, NoVA profiles, recognition and feedback themes; patient opportunities, commitments and Systems — plus a weekly scorecard and a monthly report. The Morning News, meeting decisions, debriefs and recognition come as counts and structure, never the team's own words, and nothing addressed to leadership. Patient detail is always de-identified.

Question 4

Do the practices I coach need NovaDental?

Accepted Answer

Yes. Each practice subscribes to NovaDental directly — $949 a month per location — and NovaCoach doesn't bill them.

Question 5

How do I connect with a practice?

Accepted Answer

Send an invite link from NovaCoach, connect with a workspace code the owner shares with you, or send a connection request by email. The owner or an admin approves and chooses Basic or Full.

Question 6

Can I see patient records?

Accepted Answer

Not from an invite. Everything you see about patients is de-identified — counts, totals, “patient A”. Patient records and exports need a separate grant from the practice in Advisor access.

Question 7

Can I change things inside a practice?

Accepted Answer

You can send systems, recommendations and plans. The owner's policy decides whether they reach the team straight away, wait for the owner's approval, or go to the doctor and owner only. Commitments are always the team's to make.

Question 8

What happens when an engagement ends?

Accepted Answer

The practice can revoke access at any time, and live access ends. An engagement can also be paused or scheduled to end, and a practice can bring a coach back later.

Question 9

Can my whole firm use NovaCoach?

Accepted Answer

Yes. The plan includes 5 coaches — you plus four — with owner, admin and coach roles. The practice approves your firm once and sets how far it can see; your firm assigns coaches within that.

Question 10

How does NovaCoach use AI?

Accepted Answer

Ask about my book answers common questions straight from your records. Anything else goes to Nova, from the same records, and an answer that cites a practice outside your book is refused. AI usage is metered on top of the plan.

Straight answers,before you ask.
